We are seeking a highly organized and proactive Procurement & Estimating Coordinator to support our service, maintenance, repair, rental, and equipment sales operations.

This role is a critical link between our technicians, clients, vendors, and leadership team. You'll be responsible for sourcing parts, obtaining pricing, preparing estimates, coordinating procurement activities, supporting business development, and helping ensure jobs move efficiently from quote to completion.

Success in this role requires urgency, organization, and strong follow-through. You'll manage multiple priorities, adapt quickly to changing demands, and take ownership of your responsibilities while ensuring commitments are delivered on time.

This is not a traditional parts counter or administrative role. You'll play an active role in supporting operations, procurement, estimating, customer service, and business development while helping drive the continued growth of Gentech.

Parts & Procurement

• Source parts, materials, and equipment for service and repair work

• Obtain vendor pricing, availability, and lead times

• Build and maintain supplier relationships

• Create and track purchase orders

• Monitor outstanding orders and backorders

• Coordinate parts deliveries

• Assist with inventory management and stock planning

• Maintain accurate procurement records

Estimating

• Prepare accurate and timely sales, service, repair, and maintenance estimates

• Maintain estimate turnaround targets and proactively follow up on outstanding quotations

• Communicate estimate status updates to leadership and clients as required

• Review technician recommendations and parts requirements

• Request and compile vendor quotations

• Assist with proposal development

• Track estimate status and follow-up requirements

• Support equipment sales opportunities

• Help improve estimate turnaround times and accuracy

Operational Support

• Coordinate with technicians, service coordinators, and leadership

• Ensure required materials are available for scheduled work

• Support job planning and execution

• Assist with documentation, tracking, and process improvement initiatives

• Help identify operational bottlenecks and opportunities for improvement

Business Development Support

• Build relationships with new and existing clients through professional phone and email communication.

• Conduct proactive outbound calls to prospective clients to introduce Gentech's services and identify new opportunities.

• Support business development initiatives through client follow-up and lead generation.

• Assist in maintaining and growing long-term client relationships.

Required Qualifications

• Strong estimating experience in a mechanical, industrial, construction, or service environment.

• Strong mechanical aptitude with working knowledge of diesel engines.

• Experience working with vendors, suppliers, or procurement processes.

• Ability to read parts breakdowns, service manuals, and technical documentation.

• Excellent English verbal communication skills and confidence speaking with clients over the phone.

• Ability to manage multiple projects, quotes, and procurement activities simultaneously.

• Proven ability to prioritize multiple tasks while maintaining a high level of accuracy.

• Strong follow-through and task management skills.

• Proven ability to work independently and take ownership of responsibilities.

• Strong organizational and time management skills.

• Strong English written communication skills.

• Proficiency with Microsoft Office and computer-based systems.

• Strong problem-solving skills.

• Ability to work independently and as part of a team.

Preferred Qualifications

• Parts procurement training or certification is an asset

• Experience working in power generation, heavy equipment, diesel engines, industrial equipment, construction, or related industries

• Inventory management experience

• Service writing experience (dealership)

• Project coordination experience

Location: Foothills County, AB
Job Type: Full-Time | Permanent

Compensation:

• Starting at $60,000 annually (paid hourly), depending on experience and qualifications

• Competitive compensation based on experience and value brought to the role
